These days, I tend to receive e-mails from students that are written improperly .<\/p>\n
Disclaimer: this not an email that follows certain protocol but a just generic email that one can use in a normal situation.\u00a0<\/em><\/p>\n Unlike casual e-mails to friends and families, e-mails to other individuals must be written formally<\/strong>, even\/especially if it is addressed to a stranger.<\/p>\n The following are the minimal requirements, in my opinion, for a formal e-mail:<\/p>\n Always include a subject. Remember, this is a brief<\/strong> <\/em>title. You do not write your full message in here.<\/p>\n For example: Have a greeting:\u00a0<\/strong> If it is your first time emailing them, introduce yourself.<\/p>\n Include your message.<\/strong> The greeting, message and signature should be separated, not written in the same paragraph.<\/p>\n Also do not use short forms like “u” instead of “you”..<\/p>\n Do not use shorthand e.g. “don’t”, “weren’t”, “didn’t”.. Instead, use “do not”, “were not” and “did not”.<\/p>\n Use capital letter for “i” (when referring to yourself).<\/p>\n Do not use CAPS or multiples of !! or ??.\u00a0 These typically indicates that one is shouting.<\/p>\n Similarly, when writting in Malay language, \u00a0do not use shortform: “perkataan2, jgn, utk, mkn, …”<\/p>\n Do not mix the languages (if use malay, all malay.. if english, all english).<\/p>\n Do not use emoticons in formal e-mails.<\/p>\n But e-mails to me, I can give two exceptions: mixed language and emoticons\u00a0are acceptable.<\/p>\n End with a signature <\/strong><\/p>\n Regards \/ Yours sincerely \/ Best Regards<\/p>\n Yap<\/p>\n All the best!<\/p>\n Thinking of writing a resume?\u00a0 Click here for some tips.<\/a><\/p>\n

Write your intention of sending this email and what you want.\u00a0 I have encountered emails without any proper messages. Some just say their name and matric. card number (wrong!). Some only wrote a greeting and an ending without saying what they want to do (wrong!).\u00a0 Please remember, the title\/subject is NOT<\/span> enough.<\/p>\n
